Job Description

Position Summary

The Staff Accountant plays a key role in supporting the accounting and finance function, with a primary focus on Accounts Payable operations. This position is responsible for full-cycle AP processing while also supporting general ledger activities, monthly close, reconciliations, and financial reporting. The ideal candidate has strong QuickBooks experience, excellent attention to detail, and the ability to work collaboratively in a fast-paced environment.


Key Responsibilities

Accounts Payable (Primary Focus):

  • Perform full-cycle accounts payable, including invoice receipt, review, coding, approval, and entry in QuickBooks
  • Match invoices to purchase orders and receiving documentation (2-way / 3-way matching as applicable)
  • Prepare and process weekly and bi-weekly vendor payment runs (check, ACH, wire)
  • Maintain vendor master files, including onboarding, W-9 collection, and banking information
  • Reconcile vendor statements and research invoice discrepancies or outstanding balances
  • Respond to internal and external inquiries regarding invoice status and payments
  • Ensure compliance with company policies, approval workflows, and internal controls
  • Assist with 1099 preparation and annual reporting

General Accounting & Month-End Close:

  • Record journal entries related to AP, accruals, prepaid expenses, and other assigned areas
  • Reconcile accounts payable subledger to the general ledger
  • Assist with month-end and year-end close processes
  • Support balance sheet reconciliations and variance analysis
  • Prepare supporting documentation for audits and financial reviews
  • Collaborate with accounting and operations teams to improve AP efficiency and accuracy

Required Qualifications

  • 3-5 years of accounting experience, with a strong emphasis on Accounts Payable
  • Hands-on experience with QuickBooks (Online or Desktop)
